About the Role
Veho is seeking a detail-oriented Legal Specialist to streamline litigation support, support contract negotiation and redlining, drive contract lifecycle excellence, and coordinate real estate and insurance workflows. You’ll partner closely with Legal, Trust & Safety (T&S), Procurement, Finance, Real Estate/Facilities, and external counsel to move fast without sacrificing compliance. Depending on your experience, expertise, and interests, there is significant opportunity to grow as Veho scales. This role is ideal for a legal ops professional or senior paralegal who loves building process, owns the details, and communicates crisply.
What You’ll Do (Key Responsibilities)
Litigation Support
- Respond to subpoenas, including intake, prep, coordination with stakeholders, and production support.
- Review and approve standard Releases/Settlement agreements within established guardrails.
- Own the litigation tracker: review latest pleadings/court decisions/emails, update matter status, and save all related documents to the correct repositories.
Contracts (Commercial & Vendor)
- Review and negotiate NDAs (both mutual and one‑way) in line with Veho’s NDA playbook; escalate exceptions per playbook.
- Review and negotiate vendor agreements per the Vendor Agreements playbook; route redlines and approvals as needed.
- Maintain contract hygiene within Veho’s contract management platform: complete smartfields, ensure metadata accuracy, run compliance checks, and organize/sync executed contracts to the proper folders.
- Serve as a signature approver for client contracts within delegated authority.
- Oversee pre‑signature compliance checks and the final execution process (routing, DocuSign/CLM steps, counter‑signature, and distribution).
Real Estate & Insurance Coordination
- Review leases, estoppels, and SNDAs; provide initial legal judgment and readiness checks before attorney coordination.
- Coordinate letters of credit (communications with landlords and banks) and track status through issuance/renewal.
- After attorney review, coordinate estoppels, SNDAs, and lease drafts with counterparties to signature.
- Send draft leases to the insurance broker to review insurance provisions; obtain updated Certificates of Insurance (COIs) from landlords and brokers per the COI SOP.
Documents & Filings
- Forward notice filings to Veho’s legal ticketing system and standardize subject lines to match the filed matter taxonomy.
- Manage the Legal Google Drive (or designated DMS): notices, filings, sanctions reports, executed contracts, and other records; ensure foldering/permissions align with policy.
- Coordinate notarization, signing, and mailing/courier of physical documents.
Other Responsibilities
- Conduct and document sanctions checks for each new partner; save reports to the designated repository.
- Perform light Westlaw research as requested and summarize findings for attorneys/stakeholders.
- Manage legal tickets: monitor open/pending status, triage, send reminders, and drive to closure against SLAs.
- Support miscellaneous legal ops projects (process mapping, SOP updates, tooling rollouts, audits) and draft internal/external communications as needed.
What You’ll Bring (Qualifications)
- 3–6+ years in legal operations, contracts management, or paralegal roles (in‑house preferred; mix of commercial, litigation support, and real estate a plus).
- Demonstrated experience reviewing NDAs, vendor agreements, and coordinating lease documents.
- Working knowledge of litigation workflows (subpoenas, pleadings, discovery logistics) and document management best practices.
- Familiarity with insurance provisions in commercial leases and COI requirements.
- Strong writing/redlining skills; comfort with playbooks and SOP‑driven workflows.
- Tools: Google Workspace, Zendesk, CLM/DocuSign (e.g., SpotDraft or similar), Westlaw or equivalent legal research tools.
- High ownership, impeccable organization, and the ability to communicate clearly with internal clients and external counterparties.
How You’ll Work
- Operate within SOPs/playbooks; propose improvements to reduce friction and risk.
- Collaborate cross‑functionally with T&S, Procurement, Finance, Real Estate/Facilities, and outside counsel.
- Balance speed and precision; escalate non‑standard terms and higher‑risk issues promptly.
Nice to Have
- Notary commission or prior notarization coordination experience.
- Experience with letters of credit, landlord/tenant issues, and real estate closings.
- Prior work in a regulated or high‑growth logistics, marketplace, or tech environment.
