About the role
We are seeking a detail-oriented and highly organized Paralegal / Contract Manager to support our Legal and Real Estate teams. This hybrid role combines traditional paralegal responsibilities with proactive contract and project management. The ideal candidate will have experience managing contracts and legal processes, and demonstrate a high level of professionalism in internal and external communications.
What you will do:

Contract & Legal Support

  • Draft, review, and manage routine agreements such as NDAs, standard vendor agreements, and standard releases or settlement agreements.
  • Compare contract versions and redlines to identify untracked changes and ensure final versions match the approved drafts.
  • Review draft order forms to ensure internal teams have completed necessary sections before submission.

Real Estate & Facilities Support

  • Coordinate lease-related documents with landlords, including estoppels, SNDAs, and draft leases.
  • Obtain and manage Certificates of Insurance (COIs); liaise with insurance brokers and landlords regarding coverage and lease terms.
  • Send draft leases to insurance brokers for review of insurance provisions.

Regulatory, Litigation, & Compliance

  • Conduct sanctions checks and assist with annual report filings.
  • Assist in gathering documents and preparing responses to subpoenas.

Document & Project Management

  • Organize and save executed contracts in designated systems and folders (e.g., Real Estate Drive).
  • Coordinate document notarization, signing, and mailing.
  • Manage scheduling and communications with stakeholders regarding contract logistics.
  • Assist in project management tasks and legal operations initiatives.

Legal Research & Communication

  • Perform light legal research using Westlaw or similar tools.
  • Draft internal and external email communications for legal or operational matters.
  • Coordinate with cross-functional teams to ensure smooth execution of legal processes.

What you bring

  • 5+ years of experience as a paralegal, contract manager, or similar role, preferably in an in-house legal department.
  • Strong understanding of contracts, leases, and legal document management.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills—written and verbal—with internal and external stakeholders.
  • Familiarity with tools such as Google Workspace, contract management software, and legal research platforms (e.g., Westlaw).
  • Ability to manage multiple projects and deadlines simultaneously.
  • Experience supporting legal functions.
  • Notary public certification or experience coordinating notarizations is a plus.
